How to Replace Manual Business Processes with Software

Replacing a manual process starts with a plain description of what happens, in order, including the awkward exceptions. If that description does not exist, software will only encode the confusion.

Look for repetition: the same customer typed twice; the same order copied; the same status updated in three places. Those are integration and workflow problems as much as they are “new app” problems.

Look for rules: discount bands, product constraints, who can approve a quote. Rules belong in software. Judgement — a difficult customer, an unusual job — should stay with the people who already handle it.

Then decide the smallest system that removes the worst friction. That might be a quoting screen, a portal, or a connection between the website and the tool you already use.
